Word - Automatic TOCs

Quick overview of how compose a TOC for a multi-level, multi-page document — menu: Insert > Index and Tables > Table of Contents.... click OK.

That seems a lot simpler than typing in the headings, tabbing and formatting, typing the page numbers, etc., etc. Let's see how it works with the sample doc at at wdsample01.doc.

Open the sample doc. Set Normal View (menu: View > Normal).

We need to make a home for the TOC between the Title and the rest of the document.

Place the cursor in front of the blank paragraph marker just above the first heading ("Introduction"). Make a section break (menu: Insert > Break > Section Break Types > Odd Page > Okay).

Now add a little more room for the TOC, and another section break between the TOC and the body — Press Enter, then menu: Insert > Break > Section Break Types > Odd Page > Okay

Now we have Title, section break, blank paragraph (for the new TOC home), section break, blank paragraph, "Introduction".

Place the cursor in front of the blank paragraph marker in our new TOC home, and do the TOC — menu: Insert > Index and Tables > Table of Contents.... click OK. Presto-change-o!

Now for the magic. We'll start each Heading 1 title on a new page, then update the TOC to reflect the new structure.

Place the cursor in the Heading 1 paragraph "Introduction". Go to menu: Format > Style (Heading 1 is selected) > Modify > Format > Paragraph > Line and Page Breaks....

Select (put checks for) everything in Pagination — Widow/Orphan control, Keep lines together, Keep with next, and Page break before.

Click OK, check Add to Template and Automatically Update, OK, Close.

Go to Print Layout View (menu: View > Print Layout). Use PageUp and PageDown buttons to scroll around the document.

To update the TOC with the new page numbers, scroll up to the TOC page. Right-click on the TOC to bring up the context menu, and select Update Field > Update Page Numbers Only, click OK. All the page numbers are updated. Click on any heading the TOC, and you jump to that heading's page. Click on the Back Arrow (left edge of the top toolbar) to get back to the TOC.

You can change the wording of a heading, or add headings, or promote and demote headings in Outline View or by re-assigning styles, and all it takes to update the TOC is right-click on the TOC, select Update Field > Update Entire Table > OK.
